Details of Internship:
The interns will be based at the IAS Secretariat in Geneva, Switzerland. They will report to the Senior Manager, Congress and Exhibition and will work with the Congress and Exhibition Project Manager responsible for the Volunteers project.
The first internship is full-time from 6 January 2020 to 7 August 2020 and the second internship is full-time from 3 February 2020 to 31 July 2020.
Purpose of the Internship:
The 23rd International AIDS Conference (AIDS 2020) will be hosted in San Francisco and Oakland, United States, 6-10 July 2020, under the theme of Resilience. More information on IAS can be found at www.aids2020.org.
The interns will be responsible for assisting with the coordination of the Volunteers participating at the AIDS 2020 Conference.
Main Responsibilities:
- Follow-up the development of the new volunteer management system and application form with the developers, testing the functionalities, addressing the issues and setting-up the system
- Assist with the volunteer recruitment including advertisement, presentations, liaison with universities, schools, communities, etc.
- List the volunteer requirements, breakdown the activities into shifts
- Schedule the volunteers in accordance with their preferences and the needs of the IAS
- Take care of the daily email correspondence and social media communication with the volunteers
- Assist with the volunteer logistics (t-shirts, catering, volunteer party after the conference, etc.)
- Help organize the supervisor selection process (skype interviews, documents, etc.)
- Help develop a volunteer handbook and any other volunteer documentation
- Help organize the onsite kick-off meeting and training (location, set-up, presentation, training documents, organization of training sessions, etc.)
- Sign in and welcome the volunteers onsite, including handing out the t-shirts and badges
- Manage, together with the volunteer supervisors, the time schedules, changes, no- shows, breaks, etc. during the conference
- Setup an evaluation form after the conference
- Prepare a final report after the conference.
Perform any additional task requested by the Senior Manager, Congress and Exhibition and the Congress and Exhibition Project Manager responsible for managing the volunteer project.
Academic Qualifications:
- Currently studying or recently graduated in business, events or hospitality management is favorable.
Experience: (previous internships)
- Experience helping organize conferences, seminars, workshops, meetings, or other events
- Experience working with registration or people management systems a plus
- Experience working in an international context.
Skills/Competencies:
· Strong computer skills in the Windows environment (Excel, PPT) and quick understanding of new software / system functioning
· Ability to work independently and an aptitude for multi-tasking
· Organized and attention to detail
· Open-minded and a strong team player
· Strong social and communication skills
· Ability to work under pressure in an international context.
Languages:
- Excellent written and oral English language communication skills.
