Details of Employment:
The Resource Mobilization and Conference Officer will be based in Geneva, Switzerland. The position is full-time and fixed-term from 2 December 2019 to 31 July 2020. This is a joint position split between the Development and Performance department, and the Conference Programme department. The incumbent will report to the Director, Development and Performance from December 2019 to April 2020; and to the Director, Conferences from May 2020 to July 2020.
Purpose of the Position:
This position will work across two functional units with a main focus on supporting the organization of AIDS 2020: Part of the time will be spent on ensuring, together with the Director, Development and Performance and other team members, that IAS engages strategically with donors and sponsors to meet the AIDS 2020 fundraising goals, and that commitments to donors and sponsors are met throughout the planning of the conference. Limited engagement will also be required to report to donors and sponsors of previous conferences and to prepare donor outreach for IAS 2021. The remainder of the time will be spent developing and managing engagement with high-level advocates at AIDS 2020, including during AIDS 2020 in San Francisco and Oakland.
Main Responsibilities:
Resource Mobilization (50%)
- Lead or support, as required, the timely submission of proposals and other grant/sponsorship-related documents that reflect donor priorities and meet compliance requirements; ensure contracts are signed, issue invoices and track payments
- Act as liaison for major donors and sponsors and manage implementation of all donor/sponsor benefits and responses to requests in collaboration with other teams
- Maintain updated information using internal tracking tools
- Draft and submit donor reports.
AIDS 2020 high-level engagement programme (50%)
- Collaborate with the Conference Programme Manager and the Senior Management Team, to strategize celebrity and influencing engagements in priority programme campaigns and public support of the conference
- Build celebrity and influencer support by researching and identifying celebrity candidates based on brand and cause alignment, recognition, reputation and influencing key target audiences for branding, fundraising and policy impact
- Build and maintain systems to manage information regarding celebrity engagement across the organisation
- Manage celebrity engagement opportunities including invitation letters, arranging photo or video shoots and media interviews, curating conference schedules, drafting scripts, interview questions, and manage logistic arrangements onsite in San Francisco and Oakland in July 2020.
Perform additional tasks requested by the Director, Development and Performance; and the Director, Conferences.
Academic Qualifications:
- A degree in international relations, social science, political sciences or a related field.
Work Experience:
- At least 3 to 5 years’ experience preferably working in the public health and/or not-for-profit sectors with some exposure to fundraising, business development and large-scale event management
Experience in programme implementation and monitoring
Experience working with celebrities and multi-national, multi-sector stakeholders.
Skills/Competencies:
- Excellent analytical and drafting skills, including the ability to write technical, programmatic and fundraising-oriented communications
- Excellent communication skills and ability to motivate commitment in clients and colleagues across hierarchies and from different professional and cultural backgrounds
- Ability to build/foster relationships by reinforcing trust and respect and demonstrating high standards of tact, diplomacy and discretion
- Knowledge of protocol, VIP security, public relations
- Ability to handle complex situations and demonstrate sound judgment and problem-solving
- Demonstrated propensity to be creative, collaborative, proactive, and self-motivated in the execution and completion of assigned accountabilities
- Ability to effectively organize and prioritize work and deliver to tight deadlines
- Versatility with office software including advanced skills in the use of spreadsheets, databases and other content management tools for information management and analysis.
Languages:
- Excellent English language communication skills, both written and oral (native-level proficiency); knowledge of other languages is an asset.
