The IAS promotes and invests in HIV advocacy and research on key issue areas through our strategic programmes, initiatives, and campaigns that advocate for urgent action to reduce the global impact of HIV, including increased investment in HIV cure research; optimizing treatment and care for infants, children and adolescents with HIV in resource-limited settings; preventing and treating HIV-related co-infections; and expanding access to prevention, treatment and care for key populations at higher risk for HIV – such as men who have sex with men, people who inject drugs, sex workers and transgender individuals – including protecting their human rights by combatting punitive laws and discriminatory policies.

Details of Employment:

The Associate Officer, HIV Programmes & Advocacy position will be based in Geneva, Switzerland and report to the Deputy Director (Vaccines), HIV Programmes & Advocacy. The position is open-ended and full-time to start as soon as possible.

Purpose of the Position:

The Associate Officer, HIV Programmes & Advocacy will provide administrative, finance and logistic support to the management and implementation of a portfolio of HIV-related programmes in the HIV Programmes and Advocacy Department at the International AIDS Society (IAS). The Associate Officer will support a range of well-established IAS programmes that are contributing to crucial areas in the HIV response, including the Industry Liaison Forum (ILF) which promotes and facilitates the full contribution of the biomedical industry to the global HIV response; the Towards an HIV Cure initiative which drives concerted efforts to accelerate global scientific research and engagement towards a cure for HIV; and the Global HIV Vaccine Enterprise (the Enterprise), which is an alliance of funders and stakeholders committed to the development - and future access to, an HIV vaccine.

Main Responsibilities:

Administration and Finance

  • Organize workshops, meetings, teleconferences and communications including preparing supporting documents, taking minutes and following up on action points
  • Organize travel arrangements for staff, consultants and external partners
  • Organize logistics for meetings and events including venue, audio visual equipment, catering, transportation and meeting materials
  • Administer contracts with -award recipients, consultants and other partners
  • Administer sub-award and other agreements, tracking timelines, deliverables and expenditures
  • Monitor expenditures, reimbursements and invoices according to allocated budgets
  • Maintain up-to-date budget for internal monitoring and planning; supporting the creation of estimates to ensure appropriate expenditure of the grant; and updating the internal budget system
  • Provide input for donor reports and grant proposals
  • Coordinate and collaborate with colleagues in other teams to facilitate good communication, and coordinate joint projects

Project management

  • Work closely with other team members to facilitate the execution of specific work plans, including tracking deliverables, outputs, monitoring key performance indicators related to objectives, timelines and expenditures
  • Support the Deputy Director, and Project Manager, in drafting and revising progress reports and documentation to donors.

Communication

  • Support the communication, outreach and marketing of activities with the support of the Communications and Advocacy Officer and Communications department
  • Support the expansion of and upload new content to specific project websites
  • Provide administrative support for specific science and industry publications.

Perform any additional tasks as requested by the Deputy Director (Vaccines), HIV Programmes & Advocacy and the Director, HIV Programmes & Advocacy; and provide administrative support for other projects across the team as needed.

Academic Qualifications:

  • A degree in business, business administration, hospitality management, project management, or a related field or relevant work experience.

Work Experience:

  • A least 2 years’ experience in a similar position; preferably working in global health or development at an international level
  • Experience administering projects and working across functional areas
  • Experience overseeing budgets and updating financial records
  • Experience working with external partners, donors, service providers and/or consultants
  • Experience coordinating conference and/or large meeting logistics, seminars, workshops, meetings, committees or events including international travel.

Skills/Competencies:

  • Highly organized, systematic and detail oriented
  • Ability to work independently and an aptitude for multi-tasking
  • Strong written and oral communication skills
  • Cross-cultural interpersonal skills
  • Computer literate with good knowledge of Microsoft Office software; familiarity with teleconferencing services, web content management systems
  • Sense of diplomacy
  • Ability to work efficiently under pressure
  • Interest or background in HIV
  • Ability to travel internationally (1-2 business trips per year).

Languages:

  • Advanced level of spoken and written English, knowledge of other languages is an asset.
